Cancellation & Rescheduling Policy

Cancellation of Service(s) by Customer
Upon acceptance of a proposal by signature, the customer is contacted to schedule the agreed upon service(s). Once service(s) is scheduled and confirmed by the customer, the customer has the right to cancel service(s), without penalty, no less than one business day prior to service. Cancellations must be made early enough to give Capitol Tree Care, LLC one full eight hour business day prior to the service date to schedule new service(s) in the cancelled or rescheduled service(s) place. If the service date is on a Monday, service(s) must be cancelled or rescheduled no later than 5 PM on the preceding Thursday. All services cancelled or rescheduled within the business day window are subject to a cancellation fee of 25% + Sales Tax(8.25%) of the total service(s) cost(s) being cancelled. This policy is to ensure Capitol Tree Care, LLC has the necessary window of opportunity to schedule other service(s) in place of the cancelled or rescheduled service(s), in order to avoid a financial loss incurred by a last minute cancellation or rescheduled service.

Proper cancellations or rescheduled services without penalty must be confirmed by a Capitol Tree Care, LLC representative by means of a written notice through traditional mail or e-mail or by phone within the one business day window. Customers who leave a voicemail or send an e-mail after business hours and less than the one business day cancellation & rescheduling window, does not constitute as a proper cancellation and are subject to a cancellation fee.

The same policy terms apply to all national holidays in which Capitol Tree Care, LLC is closed. Holidays that fall on a Monday require a cancellation or rescheduling no later than 5 PM on the preceding Thursday and must meet the above listed requirements to be considered a valid cancellation or rescheduled service to avoid additional fees.

Cancellation of Service(s) by Capitol Tree Care, LLC
Capitol Tree Care, LLC reserves the right to cancel any service(s), for any reason, at any time. Upon determination that Capitol Tree Care, LLC would like to cease service(s), a representative from Capitol Tree Care, LLC will contact the customer to notify them of the cancellation. Any monies that have been prepaid by the customer for any service(s) are subject to the stipulations found in the Capitol Tree Care, LLC Refund Policy which can be found on the company website: arboristaustin.com.

Rescheduling of Service(s) by Customer
In the event a customer needs or wants to reschedule service(s), they may do so without penalty if rescheduling occurs prior to one full business day prior to the originally agreed upon service date. If the service date is on a Monday, service(s) must be rescheduled no later than 5 PM on the preceding Thursday. Customers who reschedule service(s) less than the allotted cancellation & reschedulint window are subject to a fee of 25% + Sales Tax(8.25%) of the total service(s) cost being rescheduled. Upon completion of the service(s) following the rescheduling, Capitol Tree Care, LLC is due the original total amount agreed upon on the proposal. Rescheduling fees in no manner constitute as part of the original service(s) cost and are a separate cost/fee.

Proper notification to reschedule service(s) must be confirmed by a Capitol Tree Care, LLC representative by means of a written notice through traditional mail or e-mail or by phone within the 24 hour, business day window. Customers who leave a voicemail or send an e-mail after business hours and less than the 24 hour, business day rescheduling window, does not constitute as proper notification and are subject to a fee.

This policy is in place to protect Capitol Tree Care, LLC from last minute cancellations & rescheduling that causes a financial loss to the business. Capitol Tree Care, LLC has the right to waive any fee(s) depending on the situation causing the rescheduling of service(s).  Capitol Tree Care, LLC enforces this policy and pursues all unpaid invoices and/or fees through means of property liens, collection agencies and litigation if warranted.

Rescheduling of Service(s) by Capitol Tree Care, LLC
In the event that Capitol Tree Care, LLC needs to reschedule a customer’s service(s), a representative from Capitol Tree Care, LLC will contact the customer to confirm a new service(s) date(s). Customers are not subject to any fees based on rescheduling initiated by Capitol Tree Care, LLC, but are subject to fees if the customer initiates cancellation or rescheduling of service(s) on the new agreed upon service(s) date(s).  Refer to the above content regarding fees for cancellations and rescheduling.
